Map scheduling software: putting the day on a map before it is promised

Map scheduling software adds one thing to a board and it is the thing a list can never show: where the day actually goes. Eight appointments in a column look identical whether they are clustered in one district or scattered across a county, and the difference is an hour or two of unbillable driving. Seeing the drive before the windows are promised is where the saving is, not in the optimisation engine most products sell alongside it.

Cluster first, promise second

Give the customer a window after the day is laid out on the map, not before. The most expensive scheduling decision in a service business is a promised window that forces a crossing drive, and it is made by an office trying to be helpful on the phone.

The map is also the answer to where is my technician

Once the day is on a map, arrival estimates and customer updates come for free, and the inbound calls asking where somebody is largely stop. That is usually a bigger saving in a small office than the driving itself.

Why automatic routing gets overridden

Optimisers need accurate durations and they do not know that this customer must be first or that this technician is better with that equipment. The suggestion is a useful first pass; the dispatcher's override is the part that makes the day work, so keep the control.

Questions people ask about map scheduling software

Is a map worth it for a two-van business?

Usually yes, and mostly for the customer updates rather than the routing. Two vans are easy to hold in your head; the phone calls asking where they are still consume the office.

Does it need live tracking?

Not for planning. Live location helps with arrival windows and with the question of who is nearest to an emergency, and it is a separate decision from seeing the day on a map.

What about territories?

Assigning technicians to areas rather than optimising freely is the low-tech version of the same saving, and for many small firms it is enough. A map makes the territories visible and the exceptions obvious.
