This is a work order template that prices the job card on the page, from your figures. Labour hours at your rate is the labour line; parts at your cost plus your markup is the parts line; a flat trip charge and the sales tax on the marked-up parts complete the total, and any deposit already taken comes off it to give the balance due. The sheet also shows the margin the markup earned on parts. Every figure is yours; the worksheet publishes no rate, no markup and no tax rule. Labour at your rate, the line most shops under-count
Six hours at $85 is $510 of labour. The hours are the technician's, entered on the sheet rather than remembered at the end of the week, and the rate is the rate you bill at, not the wage you pay. The worksheet works the line; whether your rate covers your overhead is a pricing question the sheet makes visible and does not decide.
Parts at cost, marked up, with the tax on the marked-up figure
$240 of parts marked up 20% bills at $288, and the tax at 7% on that line is $20.16. The worksheet taxes the parts line only and leaves labour untaxed, the common case in most states; the rate is yours to set and the sheet shows the margin the markup earned, $48 on the worked example, so the markup is a decision rather than a habit.
The total, and the balance after a deposit
Labour, marked-up parts, the trip charge and the tax make the work order total, $863.16 on the worked example. Enter a deposit already taken and the sheet shows the balance due, which is the figure the invoice will ask for. What should a work order include?
The customer and the site, the work to be done, who is doing it, the date, the figures behind the price (hours, rate, parts, markup, travel, tax) and the status. The worksheet carries the figures; the customer, the site and the assignee are what the paid record keeps around them. What your trade's licensing requires the sheet to carry is a question for your state.
How much should I mark up parts?
Whatever your market bears and your margin needs: the worked example uses 20% to show the arithmetic and nothing more. The sheet shows the margin the markup earns in dollars, which is the figure to look at when deciding; a markup that earns $48 on a $240 parts line is a decision you can see.
