Every figure on this page is computed from the inputs entered, by the method stated below it. Jobcardo publishes no tax rate, no wage figure and no trade standard: the rate, the markup and the tax on the parts line are yours, and the defaults are a worked example to replace with your own figures.
A service scheduling program has one job an ordinary calendar cannot do: hold recurring visits that are owed rather than booked. A maintenance agreement promises two visits a year; a filter change is due every quarter; a compliance check is due before a date. These are obligations with windows, not appointments, and the moment they are entered as fixed appointments they start being moved, dropped and forgotten, which is how an agreement base erodes without anybody deciding to let it.

Model the obligation, not the appointment
Record what is owed, by when, to whom, and let the program show what is due and what is overdue. A due-list that can be scheduled into gaps is far more robust than a calendar of appointments made twelve months in advance and moved ever since.
Schedule the base into the quiet weeks deliberately
Agreement visits are the revenue that carries the shoulder seasons, and they are the first casualty of a busy fortnight. Plan them into the weeks that have room, and treat a visit slipping past its window as an exception somebody has to see.
Let the customer see the same schedule
A customer who knows their next visit is booked does not phone to ask, and does not lapse quietly. The same record that drives your due-list is what should confirm their date, which removes the second system and the disagreement that comes with it.
Service scheduling program: common questions
What is the difference between a scheduling program and a dispatch board? The program holds what is owed over months; the board holds who is doing what today. A service business needs both, and the program is the one that protects recurring revenue.
How far ahead should recurring visits be scheduled? Keep them as obligations with windows and firm up dates a few weeks out. Booking a year of exact dates produces a calendar that is wrong by February and a team that stops trusting it.
What happens when a visit is missed? It should appear as overdue rather than disappear. The value of the program is precisely that a missed obligation is visible, because the alternative is discovering it at renewal when the customer declines.
